Who manages content?

The CMS developed for the website, intranet and extranet is managed by the Communications unit. However, it is not expected that this unit knows everything that goes on in the organisation.

For this reason, various units have designated web administrators and monitors to ensure sections relevant to their unit are kept up to date.


Requesting new content or updates

If you would like any changes made to existing content or for new content to be added, you must speak to the designated web administrator listed below. Please note that not every unit has a designated web administrator. If your request falls outside the below areas, please make your request to the Communications unit.

It is the responsibility of all staff members who request content to be added to the web to first seek approval from the delegated manager. Only members of the Executive Management Group (EMG) and the Executive team have the authority to approve content which relates to their area.

All web administrators and those requesting content should familiarise themselves with the Website management procedure (PR-A097-02), available on the Policies and procedures page.

How to use the CMS

The CMS can be accessed at www.dhsv.org.au/cms.

Web administrators must be granted administrator priveleges by the Communications unit to successfully log in to the CMS. Training should be provided by the Communications unit, but basic notes are provided in the below document.

Guidelines for content

Content published to the intranet, internet and extranet must:

  • adhere to copyright and privacy laws/guidelines
  • adhere to Level AA of the Web Content Accessibility Guidelines (WW3)
  • adhere to the DHSV style guide
  • be current and accurate
  • be grammatically correct
  • be concise, scannable and easy to read
  • have been approved in accordance with the Delegations of approval for content
  • be relevant and have a clear audience and purpose.

Documents published to the intranet, internet and extranet must:

  • be appropriately named in a meaningful, consistent and succinct manner
    • Limit or avoid capitalisation
    • Use underscores or hypens instead of spaces
    • Limit length of file names (e.g. max 20 characters)
  • contain the correct DHSV logo (no smaller than 40mm wide)
  • display current information
  • have the date of publication nominated in the CMS file library

All web authors required to manage content within the CMS must be trained accordingly and familiarise themselves with the DHSV style guide as well as the tips for writing for the web and writing in plain English.


Background information 

The DHSV website, intranet and extranet were redeveloped in 2009-10 by Lava Web Creations and are now managed internally by one content management system (CMS). The Communications unit manages the website and intranet in partnership with IT and various web authors, while the Agency Relationship Team manages the extranet with support from Communications.

The animated Flash site for kids, Adventure Playground, is linked to from the DHSV website but was built several years prior to the current website by BlueArc. Any changes to this site must be communicated with IT who will liaise with BlueArc. The DHSV Health Promotion unit is responsible for the content of this site.

The Dental Jobs site runs separate to our other sites and is maintained by its developer Mercury, in partnership with Employee Services.
